Intranet

Our client needs to improve internal organisation as hours spent in different projects are hard to track without a good system. The need to have an overview of the status of projects and links to its documents calls for a simple project management solution with hour registration.

The intranet database recognizes the staff by their Windows username and logs them in automatically. Throughout the day people fill in the hours done in each individual project, including a short description of the work done. This data is matched against a project budget to verify that the project is running on time.

Project managers on the other hand, can view what has been done by each team player. Producing an hour overview report, grouped by person or project, gives them a quick overview of all the time spent until the moment as well as the original budget estimation. They can then evaluate the situation of the project and if any actions are needed to make sure it is finished within time and budget.

Extranet

In this case, our client needs a system that allows him to communicate with his clients better in terms of forms, file sharing and project management.

Our solution was an extranet. Clients can log in to fill in request forms, sparing a lot of time on the phone of faxing documents. File sharing avoids the confusion of e-mails where everyone has to find that file in an e-mail sent somewhere last month. All the files stay in a shared location, available to the client.

To soften project management, clients can enter the problems they found on the project or any suggestions. The project team can then fix these problems and update its status. Real-time project status for the client is something like a luxury service. Avoids phone calls asking how things are going or to report problems. Most things can just be done on the Extranet.
